Ft. Lauderdale, Florida, 6/21/2008 — Hess Kennedy, a South Florida Law Firm specializing in debt settlement recently made the decision to convert their paper files to digital images. With their growing client base and increasing amount of incoming mail and faxes to process, file cabinets were filling up quickly. Client files where consuming their office space and information was unmanageable. Employees where plagued with lost or missing files resulting in countless man hours spent shuffling paper and looking for information. A solution needed to be found for their growing business and growing mountain of paperwork.

After researching multiple document imaging and management software solutions, and with price in mind Hess Kennedy selected Imaging 101. Once installed, integration with their existing debt settlement application Creditsoft was established. When applications are integrated they can be very productive and efficient reducing manual input, data entry errors, and duplicate entry. The first phase of this project was to begin with the backlog. An efficient barcode solution to scan all files into one large client file was implemented. Several employees were allocated to prep the client files for scanning while two Kodak i260 scanners were used to scan the backlog. An incredibly fast rate of 1 (5 drawer) file cabinet was converted daily. Within one month 24 filing cabinets (approx 1 ton of paper) had been scanned, identified, and archived.

Once the backlog was complete day forward processing was implemented. Incoming mail is now scanned, identified and filed immediately. Faxes have also been revamped. eFaxes are now automatically captured and routed to the correct department or employee without being lost or misfiled. Hess Kennedy experienced ROI (Return on Investment) almost immediately.
