folders are a thing of the past for
Consolidated Credit Counseling Services, Inc.. Incoming
mail is now captured at the points of entry into the company.
The paper is scanned into digital images immediately upon
receipt. The electronic images of the documents are
automatically routed to the appropriate group or users'
electronic work queue based on pre-defined rules. Priority and
status are quickly and easily assigned to ensure that workers
handle the most important items first.
Even
faxes coming into the company are received electronically and
automatically routed to the proper groups or users. The
priority and status are also automatically set based on which
fax telephone line a given document came in on. The fact that
this requires no human intervention guarantees that faxed
correspondence is handled in the most expeditious manner
possible.
Managers and Supervisors now easily stay on
top of processes and users under their responsibility.
They do so by monitoring work pending and work completed in
group and user queues. Specific exceptions automatically
route problem items directly to a particular users' supervisor.
Special reports allow them to get birds-eye and detailed views
of current and historical performance and productivity.
In
the summer of 2004,
Consolidated went through a long and grueling evaluation of many
vendors and options. Consolidated’s directors were extremely
skeptical and critical because they had negative experiences
when products did not live up to expectation. "What made us

consists of three (3) scanners (1 high-volume, 1 medium volume
and 1 low- volume), forty (40) indexers with a total of one
hundred (108) users involved in automated work routing and
retrieval.
With very
little user intervention, Consolidated converted and imported
roughly 2.7 million pages from the previous vendor’s
system. Consolidated’s staff was extremely unhappy with the
previous system because it did not provide the features they
required to run an efficient operation. Prior to the Imaging101
implementation, all paper was routed in paper file folders. The
paper was scanned after the work had been completed. This
presented CCCS with many problems and challenges in their goal
to service clients in the most expeditious manner. In the
Credit Counseling industry, delays can cost clients further
financial difficulties and affect their credit ratings.
